01 — Problem

The Problem / Challenge

Synthesix Global operated across seven disconnected tools — a CRM, support platform, inventory planner, three internal reporting stacks, and a homegrown ticketing system that had grown organically over a decade with no shared data layer and no unified access model.

Our Approach / Strategy

We designed a phased modernization plan that minimized operational disruption while delivering measurable value each sprint. The sequence was deliberate: establish data trust first, automate workflows second, build executive decision tooling third.

Architecture First

Introduced event-driven microservices with Kafka as the data backbone, decoupling all seven systems immediately and enabling real-time data flow across departments from day one.

Data Trust Layer

Established a single canonical KPI model across Finance, Operations, and Support — one number for revenue, one for resolution rates, eliminating the competing-dashboard problem permanently.

Parallel Adoption Plan

Built department-specific rollout and enablement tracks — Finance, Operations, and Support teams onboarded at their own pace without blocking each other's timelines or creating a big-bang cutover risk.

Design Process & Iterations

Before writing a line of production code, we moved through four progressive fidelity stages with department stakeholders. Real workflow owners — not proxy users — validated every interface, reducing engineering rework by 60%.

Discovery Workshop

Two-day facilitated sessions with each department. We mapped users, process bottlenecks, decision-critical data points, and existing mental models before touching any design tools.

Wireframe Validation

Rapid low-fidelity blueprints covering 24 core screens, reviewed by department leads in 48-hour feedback cycles. Priority: information hierarchy and workflow logic, not visual polish.

Interactive Prototypes

Scenario-driven click models for six key workflows tested with actual end users. Insights changed 11 design decisions before engineering handoff — decisions that would have been expensive rework otherwise.
